The Project Coordinator is a critical member of our team, supporting the Project Managers and Managing Directors in day-to-day management of events, marketing, and experiences. Project Coordinators will responsibly administer and organize all project activities in cooperation with and under the direction of the Managing Director, together striving for the flawless execution of all Harbinger projects.

The Project Coordinator is one of the primary external representatives of our organization.  As such, the Project Coordinator must convey a sense of expertise in our services and capabilities, frequently serving as a key educator for our community and potential clients.



- Intricate knowledge of the event planning/logistics industry with a concentration on agency or corporate event productions, creative and scenic development, and/or video and graphics production.

- 12-18 months minimum with a large public affairs or advertising agency preferred; experiential marketing or events experience also desired.

- Strong analytical and problem solving skills and an ability to adapt to unforeseen circumstances.

- Ability to work well with large and diverse teams all the while maintaining a positive, can-do attitude.

- Ability to work under pressure and within tight deadlines.

- Ability to translate requirements into tasks.

- Experience with task scheduling and resource assignment.

- Experience with project management practices and tools to create, manage, and track project performance, cost, and scope.     

- Excellent client facing and internal communication skills.

- Excellent written and verbal communication skills.

- Solid organizational skills including attention to detail and multitasking skills.

- Strong work ethic, self-motivated, and able to work independently to meet or exceed goals.

- Interest in staying abreast of evolving industry standards and concepts.

- Wiz at using Google Suite products and experience with Microsoft Suite, Apple iOS, and CAD.

- Bachelor’s Degree or higher.



- Must be able to engage in frequent and prolonged travel in vehicles, airplanes, and on the Metro.

- Must be able to stand and/or walk for extended periods of time, for instance, during Harbinger client events.

- Must be able to lift up to 50 lbs. on a moderately frequent basis.



- Help prepare project proposals, timeframes, schedules, and budgets.

- Participate in virtual and in-person site visits and planning sessions.

- Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility.

- Collaborate with internal and external entities to incorporate all aspects of an event, including services not directly provided by Harbinger to create one, seamless experience for the client.

- Learn and maintain detailed knowledge of Harbinger services and customers and efficiently and effectively communicate knowledge of Harbinger services to customers and potential customers to generate business.

- Effectively and accurately communicate relevant project information to the project team and perform assigned supervisory duties.

- Collaborate with internal and external entities to incorporate all aspects of an event, including services not directly provided by Harbinger to create one, seamless experience for the client.

- Create and maintain comprehensive project documentation detailing production, audio-visual, photography, videography, entertainment, transportation, graphic artwork, collateral, scenic, and décor, as well as scheduling, timelines, programming, estimates and invoices, travel and accommodations, and transportation, among other elements.

- Use project management tools to track project performance, expenditures, procurement, and report any possible or current roadblocks.

- Source third-party estimates and subsequent support to enhance the product or experience for the client.

- Proactively detail pre-planning efforts with third-party entities (ie. sponsors, partners, etc.), to ensure cohesive outcomes on-site.

- Prioritize and reprioritize, particularly in situations of competing interests.

- Contribute to a work environment that fosters pride in being part of a winning team and promotes personal growth. Career-minded, with an interest in growing with the company long-term.

- Perform quality assurance.

- Report any problems regarding customer/Harbinger relationships.

- Perform and fulfill other duties as assigned by Harbinger management.

- Perform these responsibilities on a professional level adhering to and implementing the corporate mission, philosophy, culture, goals, objectives and policies and procedures of Harbinger.
